Who is responsible

Ferroman Engineering AB, registration number 556720-6494, is responsible for the personal data described in this notice.

Your information and request

We use the name, business email address, company, role and any other information you provide, including calculator inputs, results and related correspondence, to deliver the calculation, report, information or response you request. We may contact you to clarify or complete that request.

Under the GDPR, our legal basis is our legitimate interest in responding to business enquiries and providing the requested service.

Required fields are marked on each form. Providing information is voluntary and is not a statutory or contractual requirement, but we cannot complete a request without the information necessary for it. Other fields are optional.

Optional email follow-up

If you select the optional email follow-up box, we use your contact details and request information to send sales follow-up emails about your request and the relevant Ferroman solution. Our legal basis is your consent.

Your choice does not affect the calculation, report or response you receive. This consent does not include newsletters, unrelated marketing, telephone marketing or other companies’ own marketing.

You can withdraw consent at any time by using the unsubscribe link in an email, replying to us or emailing info@ferroman.com. Withdrawal does not affect the lawfulness of processing before withdrawal.

Who receives your information

We store enquiry records in Severa. Access is limited to authorised personnel handling your request or the follow-up you have chosen. Where local sales assistance is needed, we share only the relevant case information and business contact details necessary for that assistance, as described below.

Severa, its infrastructure providers and our website, calculator and email providers process data as needed to operate and support these services. Providers acting on our behalf must follow our instructions and protect your data. We do not share data for other companies’ own marketing.

We may disclose information where required by law or necessary to establish, exercise or defend legal claims.

Where your information is handled

Incoming leads are managed by Ferroman teams in Sweden and Finland. If your enquiry needs local sales assistance, relevant case information may be shared with authorised Ferroman sales personnel in Abu Dhabi, United Arab Emirates, or Brazil, subject to the safeguards below. They may use it only to assist with your enquiry. Severa stores customer data in Ireland, with backups in the Netherlands.

Transfers to Brazil are covered by the European Commission’s adequacy decision. For transfers to a Ferroman company in the United Arab Emirates, our policy is to permit access only once the European Commission’s standard contractual clauses, a transfer assessment and any necessary additional safeguards are in place.

How long we keep your information

Requests and correspondence. We retain information while actively handling your request and for up to 12 months after your last meaningful interaction with us, or your submission if no further contact takes place. We delete it earlier when no longer needed. Our marketing emails and email opens do not extend this period. Records needed for a resulting customer relationship follow applicable contractual and legal retention requirements.

Email follow-up. We stop when you withdraw consent, when the consent is no longer valid or when the retention period above ends, whichever comes first.

Consent records. We retain limited evidence while relying on your consent and, where needed, for up to three years afterwards. This supports our legal obligations to demonstrate consent and our legitimate interest in handling complaints or legal claims. We delete evidence earlier when no longer needed and do not use it for marketing.

Opt-out records. We keep only your email address and opt-out status for as long as needed to prevent unwanted marketing. This is based on our legitimate interest in respecting your choice. These records are not used to send marketing.

Your rights and choices

Depending on applicable law, you can request access, correction, erasure, restriction of processing and a portable copy of your data. You can object to processing based on legitimate interests for reasons relating to your particular situation.

You can object to direct marketing at any time. We will stop using your data for that purpose. To exercise your rights or withdraw consent, contact info@ferroman.com.

You may complain to the Swedish Authority for Privacy Protection (IMY) or another competent data protection authority, including in the EEA country where you live or work or where an alleged infringement occurred. Any additional rights under applicable local law remain unaffected.
